Operations Manager

Media Miami is hiring for a Senior Operations Manager role focused on business process modeling and optimization across the organization. The position is based in Warsaw and involves leading transformation initiatives to identify inefficiencies and redesign operations.

• Strong experience in business process modeling and redesign
• Proven ability to identify weak points and restructure operations effectively
• Highly assertive personality able to challenge decisions, push back when needed, and drive change
• Experience working in environments with organizational friction or gatekeeping, with a track record of overcoming it
• Hands-on experience with process optimization and automation tools (Make, Zapier, n8n, etc.)
• Strong analytical mindset, with experience using data to improve operations
• Excellent organizational and leadership skills, capable of managing multiple initiatives simultaneously
• Clear communicator who can translate complex processes into structured, actionable frameworks
• Comfortable working in fast-paced, evolving environments
• Polish (B2+) and English (B2+) proficiency

Nice to have:

• Experience working in environments undergoing significant operational reorganization or foundational change
• Track record of supporting growth through process standardization, workflow improvement, and efficiency-driven initiatives
• Exposure to HR, payroll, or broader administrative systems and processes
• Experience overseeing larger or geographically distributed teams
• Understanding of compliance, workplace standards, or operational governance

• Lead end-to-end process mapping, analysis, and redesign across core business workflows
• Identify inefficiencies and redesign them into scalable, structured systems
• Standardize and document processes to ensure consistency and repeatability
• Design SOPs to enable independent execution and reduce reliance on tacit knowledge
• Build operational frameworks that improve clarity, alignment, and accountability
• Own Notion as the central system for documentation, processes, and execution tracking
• Maintain dashboards and trackers that reflect operational reality and support decisions
• Own key initiatives from diagnosis through planning to delivery
• Translate leadership priorities into clear execution plans with ownership and timelines
• Coordinate priorities, dependencies, and timelines across teams
• Track initiatives, identify risks early, and drive resolution
• Ensure accountability and alignment across functions
• Remove execution blockers and improve flow of delivery
• Redesign manual workflows into scalable, automated systems
• Implement automation using tools like Make, Zapier, or n8n
• Ensure automation is built on standardized, well-structured processes
• Continuously improve operational systems to support scaling
• Deliver concise, decision-ready operational insights for leadership
• Ensure processes are measurable, repeatable, and adaptable

This role requires being on-site at the Warsaw office to closely oversee workflows, provide hands-on guidance, and make timely, informed operational decisions.
