Middle Immigration Specialist, People Operations

• 2+ years of relevant experience in Global Mobility, Immigration, HR, or a similar environment
• Demonstrated ability to manage stakeholders across HR, managers, employees, vendors, and authorities
• Strong coordination skills to run multiple cases simultaneously and meet strict deadlines
• In-depth understanding of Polish work and residence permit and visa documentation requirements
• Clear problem-solving approach to remove obstacles and keep cases within SLAs
• High level of organization and planning with excellent attention to detail
• B2 English proficiency (Upper-Intermediate)
• Polish B2 and higher

Nice to have:

• Certification in Global Mobility or Immigration compliance
• Experience with HRIS or case management tooling to monitor immigration cases
• Understanding of GDPR operational controls as applied to HR processes
• Background in writing process documentation and SOPs for operations teams
• Experience assisting with audits tied to immigration or HR compliance

• Coordinate preparation of required documents for Polish work and residence permits, covering new applications, renewals, job condition changes, and ongoing status maintenance
• Compile and prepare employer-side documentation for Polish visas, work permits, and residence permits
• Coordinate with immigration vendors to ensure consistent, compliant execution of cases
• Act as the primary service contact for managers, HR, and employees during the full immigration process
• Maintain case tracking and registration, document issues and actions, and communicate solutions on a regular basis
• Oversee permit validity dates and critical deadlines to trigger timely actions and mitigate risks
• Ensure adherence to corporate policies, immigration laws, and data protection requirements including GDPR
• Provide case progress updates, pass along stakeholder feedback, and deliver case statistics to management
• Explain corporate policies to employees and ensure compliance is followed
• Surface process gaps or development areas and address them to improve the existing process
• Work with HR teams, managers, vendors, and government authorities to support compliant immigration processing
• Produce high-quality outputs within deadlines with and without direct supervision
