Middle Immigration Specialist

• Professional experience of 2+ years in Global Mobility, Immigration, HR, or a related setting
• Proven stakeholder management skills with HR, managers, employees, vendors, and authorities
• Hands-on project coordination ability to manage multiple parallel cases and deadlines
• Solid knowledge of Polish work and residence permit and visa documentation requirements
• Strong problem-solving skills to clear blockers and resolve issues within SLAs
• Excellent planning and organizational skills with strong attention to detail
• B2 English proficiency (Upper-Intermediate)
• Polish proficiency at B2 or higher

Nice to have:

• Professional certification in Global Mobility or Immigration compliance
• Experience using HRIS or case management tools to track immigration cases
• Knowledge of GDPR operational controls within HR processes
• Experience creating process documentation and SOPs for operations teams
• Experience supporting audits related to immigration or HR compliance

• Coordinate document collection and preparation for Polish work and residence permits, including first-time filings, renewals, job condition changes, and status maintenance
• Prepare employer-side documentation for Polish visas, work permits, and residence permits
• Partner with immigration vendors to drive smooth, compliant case delivery
• Serve as the main point of contact for managers, HR, and employees across the immigration lifecycle
• Track and log case statuses, flag issues and actions, and share solutions regularly
• Monitor permit validity and key deadlines to ensure timely actions and reduce risk
• Ensure full compliance with corporate policies, immigration regulations, and data protection requirements including GDPR
• Report case progress, communicate stakeholder feedback, and provide case statistics to management
• Communicate corporate policies to employees and enforce adherence
• Identify process gaps or improvement areas and implement actions to strengthen the current process
• Collaborate with HR teams, managers, vendors, and government authorities to enable compliant immigration support
• Deliver high-quality work to deadlines with and without direct supervision
