Middle Immigration Specialist, Poland Mobility

• Minimum 2+ years of experience in Global Mobility, Immigration, HR, or a comparable environment
• Strong stakeholder management skills with HR, managers, employees, vendors, and authorities
• Well-developed project coordination skills to manage multiple cases and deadlines simultaneously
• Strong knowledge of Polish work and residence permit and visa documentation requirements
• Strong problem-solving ability to resolve issues and remove blockers within SLAs
• Strong planning and organizational skills with careful attention to detail
• B2 English proficiency (Upper-Intermediate)
• Polish B2 and higher

Nice to have:

• Professional certification in Global Mobility or Immigration compliance
• Experience with HRIS or case management tools used to track immigration cases
• Knowledge of GDPR operational controls within HR processes
• Experience preparing process documentation and SOPs for operations teams
• Experience supporting audits related to immigration or HR compliance

• Coordinate preparation of documentation for Polish work and residence permits, including new applications, renewals, job condition changes, and status maintenance
• Prepare employer-side documentation packages for Polish visas, work permits, and residence permits
• Collaborate with immigration vendors to ensure seamless, compliant case delivery
• Act as the main service contact for managers, HR, and employees during each stage of the immigration process
• Track and register case status updates, document issues and actions, and share solutions regularly
• Monitor validity dates and critical deadlines to drive timely action and reduce risk exposure
• Ensure strict compliance with corporate policies, immigration regulations, and data protection requirements including GDPR
• Report on case progress, relay stakeholder feedback, and provide case statistics to management
• Communicate corporate policies to employees and enforce compliance expectations
• Highlight process gaps or improvement areas and address them to enhance the existing process
• Partner with HR teams, managers, vendors, and government authorities to facilitate compliant immigration support
• Deliver high-quality work within deadlines with and without direct supervision
