AI Program Coordinator / PMO (AI)

• 2-4 years of experience in project coordination, PMO, business analysis, or similar roles in IT, technology, or e-commerce
• Ability to manage multiple topics simultaneously, including schedules, risk logs, and senior management reporting
• Skilled at gathering requirements, analyzing information, and preparing clear notes and recommendations
• Effective communication skills for concise and clear insights
• Experience using AI tools such as Microsoft Copilot, ChatGPT, Claude, or Gemini
• Basic understanding of AI agents and awareness of key trends
• Proficiency with Excel and/or Power BI for reporting, data analysis, budget management, or simple dashboards
• Familiarity with Jira, Confluence, or similar tools
• Excellent Polish (C2) and English (B2+/C1) communication skills
• Self-driven, independent, and focused on task completion
• Ability to bring structure to new or unstructured areas
• Experience implementing AI tools or automation solutions like Copilot, Power Automate, n8n, Make, chatbots, or process automation

Nice to have:

• Experience with internal communications, communities of practice, or training programs
• Project management certifications such as PRINCE2, PMP, AgilePM, or PSM
• Experience in e-commerce, marketplaces, gaming, or technology industries

Coordination of AI Pilots and Projects:

• Gather and structure requirements from business teams for AI pilot solutions
• Manage pilot schedules, track dependencies, deadlines, and organize meetings
• Collect pilot results including metrics, user feedback, and costs, then prepare implementation recommendations
• Support transformation projects where AI is a component by coordinating tasks and facilitating communication

Internal AI Knowledge Hub and Communication:

• Manage the AI Hub by collecting use cases, documenting solutions, and sharing best practices
• Maintain up-to-date lists of AI tools approved for use, licensing budgets, and allocation processes
• Manage AI-related communication on Microsoft Teams, organizing the "Weekly AI" format
• Gather and communicate teams' needs regarding AI platform development to the Data & AI team

Operational Support for AI Governance:

• Administer domains and access rights on the internal AI platform as per policies
• Report on budgets for AI tools and licenses including forecasts and variance analysis
• Prepare documentation for new AI solution approval processes and participate as coordinator
