Business Analyst (EU Public)

The project is delivered for Frontex, the European Border and Coast Guard Agency, as part of its Enterprise Software Platforms Portfolio. It supports the automation of business processes and improves communication and collaboration through applications, tools, Intranet and Extranet solutions based mainly on SharePoint and ServiceNow. The portfolio supports various Frontex divisions, including HR, Legal, ETIAS, Equipment, Logistics, and Operations, with multiple projects and products continuously developed and implemented in a growing and demanding environment.

• Minimum 5 years of relevant IT professional experience.
• Minimum 3 years of project experience relevant to the profile or a similar role.
• Higher vocational education (minimum Bachelor's degree).
• Holds at least one certification: Certification of Capability in Business Analysis™ (CCBA) or equivalent, or Certified UML Professional foundation level or equivalent, or BPM 2 fundamental level or equivalent.
• Completed at least one full Software Development Life Cycle (SDLC).
• Knowledge in business processes modeling using BPMN notation.
• Experience in requirements elicitation, analysis, and user story definition.
• Knowledge of analysis and modeling notations such as UML (capability diagrams, activity diagrams, state diagrams, logical data models).
• Proficiency in modeling tools such as Sparx Enterprise Architect, ARIS Architect, or equivalent.
• Excellent analytical and communication skills.
• Ability to create and maintain analytical and project documentation effectively.
• Strong problem-solving skills.
• Experience as a Business Analyst in a large-scale project (over 1 year duration and €1M+ budget) deploying an enterprise resource planning system.
• Experience analyzing business processes in Logistics, Warehouse Management, Asset Management, Fleet Management, Financial Management, Legal, HR, and Project Management.
• Experience in business (and optionally system) analysis for ServiceNow platform capabilities including ITSM, Hardware Asset Management, CMDB, SecOps, Customer Service Management, Enterprise Assets Management, Strategic Portfolio Management (on-prem and cloud setups).
• At least one valid ServiceNow certification: Certified System Administrator, Citizen Developer, ServiceNow Certified Implementation Specialist, or other relevant.

General responsibilities:

• Model and document value chains/streams, business processes, roles, capabilities, and data.
• Elicit and analyze business needs, requirements, and user stories.
• Support business experts and product owners during requirements definition and software development.
• Maintain and track requirements/user stories through the system lifecycle.
• Transfer business, user, and technical needs into business requirements specifications.
• Map business goals, project benefits, priorities, components, and system features.
• Analyze available systems and support identification of potential solutions.
• Support preparation of business cases and feasibility studies.
• Contribute to systems design, testing, quality assurance, and change management.
• Design, validate, and test business processes for process excellence.
• Plan and manage programs for continuous business process improvements.
• Coach Frontex staff on upcoming changes and skill/process updates.
• Collaborate with end-to-end process owners to seek process improvements.
• Identify opportunities for business process improvements to enhance customer service and operational efficiency.
• Communicate project objectives, business cases, requirements, and scope to stakeholders.
• Quantitatively analyze business processes, performing cost-benefit and what-if analyses.
• Plan organizational change processes and implement performance monitoring systems.
• Support business users in developing strategic and tactical plans.
• Support definition of transition roadmaps for business architectures.

Work Model: Hybrid (5 days per month from the office in Warsaw).
